Those requiring assisted access may use the accessible entrance at the top of the ramp at the North end of the building. For security reasons, doors lock automatically. If during your occupancy you must leave the building, doors are not to be left ajar. Please ensure the door is closed behind you and ring the bell at either entrance to re-enter. Condition of Premises: You are responsible for maintaining the facility in a good state of repair and fit for use during the rental period. You, plus any person you admit to the premises, must conduct yourselves in a way that does not interfere with the occupancy or quiet enjoyment of other users of the facility. Damage: Damage includes, but is not limited to, improper disposal of garbage and materials, damage requiring physical repairs or significant cleaning to the building, equipment, or parking lot. The Lantern reserves the right to bill you the full amount of costs incurred to repair damages caused by you or your guests. Payments: A 50% booking deposit may be required to confirm your booking. Payment for the use of the facilities is due upon receipt of the invoice. For recurring programs, invoices are sent out at the end of every month. The hourly rate will be applied to hours included from the time of access to the time of complete vacancy (not the start and end time of your event). Hourly rates are charged by half hour increments. Social events of 50 or more people incur a $150 custodial fee. Cancellation: Last-minute cancellations put strain on our staff and volunteer schedules. We therefore request that you provide notice of cancellation as early as possible. If you do not provide at least 24 hours' notice of cancellation, The Lantern will invoice the full rental fee. Representation: The information about our facility contained in any media is believed to be accurate at the time of publication. The Lantern reserves the right to make any changes to more accurately reflect our facilities and equipment. While we try to ensure that equipment is in working order for your event, should any situation occur whereby these items are not available, The Lantern does not take responsibility for replacing this equipment. If equipment is not in working order, the user will not be charged for these items. Parking: Parking at The Lantern is provided in the lot adjacent to the building. If overflow parking is required, the Basilica parking lot is available upon request, and provided the lot is not in use. Parking is also available in front of the building on Barnes Road in accordance with the city's winter parking regulations. Users of the building are not permitted to leave their cars on The Lantern parking lot overnight. Scent Awareness: The Lantern requests you remain aware of other users' sensitivities and allergies while in the facility, and refrain from wearing strongly scented products or using scented candles. Catering & Food Preparation: The Lantern does not offer catering services. You may engage outside catering services to provide food and beverage. For larger catering numbers (greater than 40) and for any catered multi-course dinner, you must use a professional rental service for crockery and cutlery. Food safety is the responsibility of the renting group. Any caterer, individual or group that prepares or serves food at The Lantern must carry a minimum liability insurance of $2 million. Rental groups that serve food are responsible for clean-up. If dishes and glasses have been rented, the soiled items must be placed in the bins provided by the rental company and stored neatly in the location designated by Lantern staff for pick-up. Ethical Consumption: For ecological reasons, single-use products, Styrofoam, and plastic water bottles are discouraged on our premises. When selecting food and beverage options, we encourage people to prioritize local, organic and humane products. Tobacco, Alcohol & Cannabis: Smoking (including e-cigarettes) is not permitted inside the building or within thirty (30) feet of any building entrances or windows. A cigarette receptacle is available near the stairs at the North end of the building. No alcohol may be served on The Lantern's premises. Exceptions may be made on a case by case basis, and will only apply to events covered by a caterer with an applicable liquor license. All alcohol and related bottles and containers must be removed from the premises at the close of the event. The use of cannabis products is prohibited on The Lantern's premises. Certifications: The Lantern reserves the right to request proof of certification from clients who intend to use The Lantern’s facilities for specialized programs that require certified and trained instructors or facilitators. Liability, Insurance Coverage & Injury: The client agrees to occupy The Lantern's facilities in accordance with the booking terms and conditions and the rental agreement. The client acknowledges that they use the facilities at their own risk. The Lantern is not liable for any personal injury, sickness or death, loss or damage, however caused, to person or property of the user, their family, or guests during or after the time of occupancy. The client accepts full responsibility for the use of The Lantern’s facilities and agrees to pay for any repairs to the building or equipment if they are damaged as a result of their occupancy, excepting any normal wear and tear. If applicable, a certificate of liability insurance coverage may be required from the client.
