Access: We have two front entrances facing Barnes Rd, including an accessible entrance at the top of the ramp. For security reasons, doors lock automatically. If you need to leave the building, doors are not to be left ajar. Please ensure the door is closed behind you and ring the bell at either entrance to re-enter.
Parking: We have a parking lot adjacent to the building. If overflow parking is required, the Basilica parking lot is available upon request, and provided the lot is not in use. Parking is also available in front of the building on Barnes Rd in accordance with the City’s winter parking regulations. You and/or your guests are not permitted to leave any vehicles on our parking lot overnight.
Decoration policy: You’re welcome to decorate the space to suit your event, provided that no damage is caused to the facility. Please note that metallic or foil confetti, as well as glitter, are not permitted.
Payments & Invoicing: Payment is due upon receipt of invoice. For recurring programs, invoices are sent out at the end of every month. The hourly rate will be applied to hours included from the time of access to the time of complete vacancy (not the start and end times of your event). Hourly rates are charged by half hour increments.
Condition of Premises, Damages & Fees: You are responsible for maintaining the facility in a good state of repair and fit for use during the rental period. We have a “Leave It as You Found It” policy; you must remove decorations, deposit garbage into provided bags and receptacles, and clean up any major spills or messes. Please do not use confetti, glitter, or similar decorative materials anywhere on the premises. Large social events incur a refundable damage deposit: $100 for events in our Bacalhao space and $200 for events in our Bonavista space. Non-compliance with our “Leave It as You Found It” policy will result in the loss of your damage deposit. Any damages caused by you or your guests requiring physical repairs to our facility, equipment or parking lot will result in the loss of a portion or full amount of your damage deposit; we reserve the right to invoice you for any repair costs that exceed the damage deposit amount. We also charge a non-refundable facility maintenance fee of $75 for events using our Bacalhao space and $150 for events using our Bonavista space. Bookings on recognized holidays will incur additional administrative fees. You, plus any person you admit to the premises, must conduct yourselves in a way that does not interfere with the occupancy of other users of the facility, or the quiet enjoyment of our neighbours on Barnes Rd.
Cancellation & Rescheduling: Last-minute cancellations put strain on our staff and volunteers. We therefore request that you provide notice of cancellation as early as possible. If you do not provide at least 48 hours’ notice of cancellation, we will invoice the full rental fee. Rescheduling is no problem, but we do charge a $50 rescheduling fee if you do not provide at least 48 hours’ notice. The fee will be reflected on your final invoice.
Catering & Food Preparation: We do not offer catering services. You may engage outside caterers to provide food and beverage. Food safety is your responsibility. Any caterer, individual or group that prepares or serves food at The Lantern must carry a minimum liability insurance of $1 million. After your event, the caterers’ dishes and glasses must be placed in the bins they provided and stored neatly in the area designated by our staff for pick-up. For ecological reasons, single-use products, Styrofoam, and plastic water bottles are discouraged on our premises. When selecting food and beverage options, we encourage you to prioritize local, organic and humane products.
Tobacco, Alcohol & Cannabis: Smoking (including e-cigarettes) is not permitted inside the building or within 30 feet of any entrances or windows. Cigarette receptacles are available outside. Alcohol may only be served at the discretion of The Lantern’s administrative staff, and only in cases where events are covered by a caterer with an applicable liquor license or by applicable event insurance. All events with alcohol are subject to a $100 administrative fee and a $100 refundable bottle deposit, as we request that alcohol containers be removed from the premises at the close of the event. The consumption of cannabis products is not permitted at The Lantern.
Scent Awareness: Please remain aware of other users’ sensitivities and allergies while in the facility, and refrain from wearing strongly scented products or using scented candles.
Representation: The information provided about our facility and equipment in any of our media is believed to be accurate. While we try to ensure that equipment is in working order for your event, should that change, we will not necessarily be able to replace the equipment. Instead, we simply won’t charge you for their use.
Specialist Certifications: The Lantern reserves the right to request proof of certification from clients who intend to use our space for specialized programs that require certified and trained instructors or facilitators.
Liability, Insurance Coverage & Injury: You acknowledge that you use the facility at your own risk. In some circumstances, we may require that you provide us with a certificate of liability insurance coverage. The Lantern is not liable for any personal injury, sickness or death, loss or damage, however caused, to person or property of the user, their family, or guests during or after the time of occupancy. If any injury or damage occurs on-site, it must be reported immediately to our staff.
